Estate Manager

  • To assist, co-ordinate and organise FM service delivery across a mixture of small commercial office buildings in Staines as part of a wider managed estate, ensuring work is carried out to a high standard. This includes contractor management, oversight of the Concerto system, contract variation quotations, invoicing, the production of reports, and daily engagement with both the main office building and a neighbouring office unit as part of the wider estate.
  • To serve as the first point of contact at front of house, ensuring a welcoming experience for all visitors, guests, and contractors.

And as a Estate Manager with Bellrock, you’ll do it by…

  • Act as the initial focal point of contact between the Client, Contractors, and Bellrock to ensure effective communication between all parties is maintained at all times.
  • Act as Front of House reception support: professionally greet and register all guests, contractors, and visitors, ensuring proper sign-in procedures and access protocols are followed. Maintain a clean, welcoming, and well-presented reception area.
  • Conduct daily front-of-house duties, including answering general queries, issuing visitor passes, liaising with security, and managing deliveries.
  • Perform daily visual estate checks to proactively identify issues related to safety, cleanliness, M&E systems, or general presentation, reporting or escalating as needed via the Concerto system.
  • Carry out daily checks at a separate office unit to ensure the premises are secure, operational, and free from maintenance issues. Address ad hoc concerns flagged by occupants, escalating where appropriate and ensuring timely resolution.
  • Engage with bespoke software solutions to improve comfort, energy usage, and maintenance spend across assets.
  • Encourage regular feedback from building occupiers and visitors via QR codes.
  • Attend meetings with the client in relation to projects, health and safety, and monthly service review meetings as required.
  • Manage reactive and planned works via the Concerto system. Ensure routine and planned maintenance tasks are carried out to time and in accordance with the contract. Ensure authorisation is in place for any additional costs and that all records are accurate for the purposes of invoicing.
  • Complete invoicing and financial reconciliation accurately and in a timely manner.
  • Liaise with contractors to ensure works are carried out in line with the contract, and performance requirements are being met. Undertake all necessary inspections and maintain required records.
  • Review and/or inspect work for quality, accuracy, and completeness.
  • Provide support for projects where required.
  • Interact with various accounts/projects departments to resolve issues relating to service delivery.
  • Support the property manager in the preparation of budgets, providing data as necessary.
  • Assist in the production of monthly client reports.
  • Carry out regular site audits, record findings, and manage actions through to completion
  • Maintain compliance system and take responsibility for outstanding actions until completed.
  • Draft correspondence, reports, and other documents as required.
  • Maintain the statutory accident book and report any entries to Bellrock’s Health and Safety Department.
  • Assist in maintaining ISO 14001 and all other environmental obligations
  • Ensure Health and Safety regulations are fully observed
  • Implement and support social impact initiative

  • Technical knowledge of Mechanical & Electrical (M&E) systems is desirable
  • Experience working on FM projects
  • Understanding of the importance of client relationships within changing environments
  • Commitment to delivering a sustainable and socially responsible building and team
  • Excellent communication skills with the ability to engage multiple stakeholders internally and externally
  • Ability to clearly and concisely articulate complex or technical information
  • Flexibility and adaptability in varying situations
  • Health and Safety qualification
  • Ability to adapt to different needs in different environments
  • Strong administrative and coordination skills
  • Experience drafting and updating emergency plans and evacuation procedures
  • Ability to supervise front-of-house and grounds staff, fostering a proactive and service-driven culture
  • Resolve complaints, problems, and requests from tenants through clear communication and regular occupier meetings
  • Conduct regular building inspections for damage, wear, and M&E issues
  • Provide training to site-based teams where necessary
  • Support emergency response and evacuation protocols
  • Conduct H&S audits and risk assessments for contractors
  • Act as a concierge for all visitors with good local knowledge of the surrounding area


Working arrangements
