Fire Admin Coordinator

Bellrock Property and Facilities Management Ltd provides specialist Fire Consultancy services to a wide range of complex and sophisticated clients throughout the UK. Operating in the corporate, healthcare, education, retail and leisure and local authority and central government sectors, we create and implement bespoke solutions to improve the performance and value derived from noncore activity. The opportunity has arisen for a Fire Admin Coordinator to join the Fire Consultancy team, based in our Northampton office / Hybrid Working. This role is specifically to support the leadership of Fire Consultancy. The Fire Consultancy team within Bellrock, Oakleaf and Nifes is a rapidly growing area of work requiring intense input at stages to meet deadlines. The surveys require large amounts of planning, programming, client, and staff communication and produce huge amounts of reporting data which need to be presented with clear summaries, tables, and charts.

And as a Fire Admin Coordinator with Nifes, you’ll do it by…

  • Assisting the Fire Admin co-ordinator, and other Ops administrators as required.
  • Organise site access for surveyors and ensure arrangements are communicated to all parties.
  • Carry out administrative activities as required to ensure timely delivery of reports to clients
  • utilising the admin team function where possible.
  • Managing processing of completed Fire projects.
  • Downloading data and drawings from clients where applicable
  • Quality checking reports and deliverable against client required.
  • Utilisation of Smartsheet and Boris
  • Liaising with Clients and communicating arrangements with Staff
  • Transferring final data to final templates
  • Chasing missing data
  • Forecasting of invoicing and other cost controls
  • Liaising with surveyors and Principals to resolve quality and content of any reports
  • project-related issues.
  • Keeping job folders and master site lists up to date.
  • Amending templates as necessary to meet specific client requirements.
  • Quality checking final documents before issuing to clients.
  • Attending meetings, as required.
  • Seeking feedback and implementing improvements to enhance the client
  • experience.
  • Working as an integral part of the growing fire admin team.
  • Undertaking any other duties which may be reasonably required within the nature
  • of the duties and responsibilities of the department.

What does it take?

  • Problem solving skills are desirable to ensure the fire projects and its associated administration runs efficiently.
  • Analysis of data to ensure that final reports correctly reflect the findings of the Surveyors.
  • Good planning and organisational skills, the ability to work unsupervised will be essential to ensure the department operates efficiently and that all systems both electronic and manual are maintained.
  • Communications with both internal and external personnel will be a key requirement.
  • Proficient user of Smartsheet & Boris, with training provided
  • Intermediate/Advanced Excel skills, including the ability to create basic formulae, use
  • VLOOKUPS and create charts/graphs.
  • Keen eye for detail.
  • Willingness to learn.
  • Work well in a team as well as using your own initiative.
  • Flexible approach and the ability to work to deadlines.
  • Capability to deal with high-volume of data.
  • Ability to prioritise workload and manage working time effectively.
  • Excellent communication skills, verbal and written, including a good telephone manner.
  • Have good customer service skills and can communicate clearly and effectively with all levels of management.
  • Financially competent to plan and invoice work as required.

Working arrangements
